For website visitors, business contacts and our own account administration, Golf 918 determines why personal information is handled. When a facility uses Golf 918 to manage its golfers, members, staff or guests, the facility generally controls that information and Golf 918 processes it to provide the Services.
1. Scope
This Policy applies to golf918.com and related Golf 918 websites, forms, communications, demos, customer onboarding, support, hosted software, integrations and business operations. It does not govern a customer's independent privacy practices or third-party websites and services that publish their own policies.
2. Information We Collect
Information You Provide
- Name, business email, phone number, company, role and facility information.
- Demo requests, contact forms, support requests, correspondence and feedback.
- Account, user, location, configuration, onboarding and billing contact information.
- Content, records and files submitted through the Services.
Information Processed for Facilities
- Golfer, member, guest and staff profiles and contact details.
- Bookings, memberships, credits, passes, purchases, preferences, notes and communications.
- Transaction, refund, discount, tax, tip and limited payment metadata.
- Access, simulator, point-of-sale, reporting and activity records generated through configured workflows.
Information Collected Automatically
- IP address, device and browser information, pages viewed, timestamps, referring pages and interaction data.
- Login, audit, diagnostic, security, performance and error information.
- Cookie and similar-technology information used for essential functionality, preferences, analytics and, where enabled, marketing measurement.
Complete payment-card numbers are handled by the applicable payment processor through approved payment fields. Golf 918 may receive a token and limited metadata such as brand, expiry and last four digits.
3. How We Use Information
- Provide, configure, secure, support and improve the website and Services.
- Create and administer accounts, bookings, memberships, payments, POS and operational workflows.
- Respond to inquiries, deliver demos, provide onboarding and manage customer relationships.
- Process subscriptions, invoices and authorized charges.
- Send service, support, security and administrative communications.
- Send marketing communications where permitted and manage preferences and opt-outs.
- Monitor reliability, diagnose issues, prevent fraud and misuse, and protect users and systems.
- Generate aggregated or de-identified insights that do not reasonably identify an individual.
- Comply with law, enforce agreements and establish, exercise or defend legal claims.
4. Consent & Legal Authority
Golf 918 handles personal information with consent or as otherwise permitted or required by applicable law. Consent may be express or implied depending on context and sensitivity. Individuals may withdraw consent subject to legal, contractual and operational restrictions, but withdrawal may affect available Services.
Facilities are responsible for determining their lawful authority, providing required notices, managing communication consents and opt-outs, and responding to their own customers' privacy requests. Requests concerning information held for a facility may be referred to that facility.
5. How We Share Information
Golf 918 does not sell personal information. We may disclose or transfer information:
- To the facility or business customer that controls the relevant account and its authorized users.
- To service providers supporting hosting, infrastructure, communications, customer relationship management, forms, support, payments, analytics, security, accounting, access control, simulators, printing and integrations.
- To Stripe for supported payment processing, GoHighLevel for website forms and customer relationship workflows, and Zendesk for customer support, as applicable.
- Where a customer directs or authorizes an integration or disclosure.
- To professional advisers, auditors, insurers and financing partners where reasonably necessary.
- In connection with a merger, financing, reorganization or sale, subject to appropriate protections.
- Where required by law or reasonably necessary to protect rights, safety, security or the integrity of the Services.
Third-party services may collect information directly under their own privacy policies and terms.
6. Cross-Border Processing
Golf 918 and its service providers may process or store information in Canada, the United States and other jurisdictions where providers operate. Information in another jurisdiction may be accessible to courts, law enforcement or regulators under local law. Golf 918 remains responsible for personal information under its control and uses contractual, organizational and technical measures appropriate to the processing.
7. Cookies & Similar Technologies
Our websites and Services may use essential cookies for security, sessions and functionality; preference cookies; analytics tools that help us understand use and performance; and marketing measurement technologies where enabled. Browser controls may block or delete cookies, but disabling essential cookies may affect functionality. Additional consent or preference controls will be provided where required.
8. Communications
Service and transactional messages may be necessary to operate an account or fulfil a request. Marketing emails may be unsubscribed through the link provided or by contacting us. Facilities using Golf 918 communication tools are responsible for recipient consent, message content and compliance with anti-spam, telemarketing and consumer-protection laws.
9. Retention
We retain personal information only as long as reasonably necessary for the identified purposes, legal and contractual obligations, security, audits, disputes and legitimate business needs. Customer Data is ordinarily available for supported export for thirty days after service ends, subject to account status and verification, and may then be deleted or anonymized. Information in backups may remain isolated until overwritten through normal cycles.
10. Security
Golf 918 uses administrative, technical and organizational safeguards appropriate to the nature and sensitivity of information. These may include access controls, permissions, logging, vendor management and security monitoring. No system is completely secure. Customers remain responsible for their users, credentials, permissions, devices, networks and exported information.

11. Access, Correction & Other Rights
Subject to applicable law, individuals may ask whether Golf 918 holds their personal information, request access or correction, withdraw consent, or challenge our privacy practices. We may need to verify identity and may deny or limit a request where permitted by law.
Requests involving data controlled by a Golf 918 customer should first be directed to that facility. Golf 918 will assist the customer as reasonably required.
12. Children
Golf 918 provides business software to facilities and does not knowingly market the Services directly to children. Facilities are responsible for obtaining any consent required to handle a minor's information. If we learn that information was collected directly by Golf 918 from a child without appropriate authorization, we will take reasonable steps to address it.
13. Changes to This Policy
We may update this Policy as our Services, providers or legal obligations change. The current version will be posted with its effective date. Material changes may also be communicated through the Services or by other appropriate means.
